Frequently ask questions

NIH-DaRS is a platform for centralizing research datasets developed by National Institutes of Health (NIH), Ministry of Health (MOH) Malaysia. 

Researchers can deposit datasets into NIH-DaRS for long term preservation.

Researchers can also request datasets from NIH-DaRS for secondary usage.

  1. All research data that was produced by ;
    • Researchers from NIH, or
    • Researchers who received funding from MOH research grant

are compulsory to be deposited in NIH-DaRS. Depositors may submit the research data latest by 1 year after completion of the research project as an incentive to data creators to mine the data and publish before depositing in NIH-DaRS.

 
  1. All research data that was produced by ;
    • MOH researchers (Non-NIH) or
    • Non-MOH Researchers who are affiliated with MOH through collaboration

but did not received funding from MOH research grant are highly encouraged to be deposited in NIH-DaRS.

• For long term data preservation

• To makes data more FAIR (Findable, Accessible, Interoperable, and Reusable)

• Efficiently create more opportunities and promotion of new research for secondary data usage without the burden of data collection and repetition of efforts

• Potential collaboration with other researchers around the world

• Statistical files: SPSS, Stata, SAS

• Microsoft office: Excel, Word, Power Point

• Picture: PDF, JPEG, PNG, TIFF, GIF, RAW, PSD, AI, EPS, INDD

• Audio: MP3, WAV 

• Video: AVI, MOV, MPEG, FLV, WMA

• Data dictionaries are used to provide detailed information about the contents of a dataset or database, such as the names of measured variables, their data types or formats, and text descriptions. A data dictionary provides a concise guide to understanding and using the data.

• Researcher who wants to deposit data in NIH-DaRS need to upload a copy of data dictionary.

• All researchers are eligible to request research data under the restricted access condition. All requests will undergo approval process by NIH-DaRS .

New New data request received; request will be screened by admin.
Screening passed Request have been screened by admin and passed screening process.
Screening failed The data request status is not approved due to certain reason.
Approved The data request has been approved, requester can download request approval letter and need to download data use agreement to be sign by requester and requester’s supervisor / head of department.
Data Use Agreement Requester need to upload data use agreement that has been sign by requester and requester’s supervisor / head of department.
Awaiting data release Data will be generated by the system and validated by NIH-DaRS administrator.
Complete Requester can download the requested data, and copy of data use agreement that has been completely signed by both parties (requester and NIH-DaRS).
Progress Requesters are required to update their progress of data usage for the publication / presentation / research project every three months (March, June, September and December) in NIH-DaRS.
NIH-DaRS currently offers the following levels of access restriction;

  • Restricted: Data are accessible only after approval of data request process while the metadata is accessible publicly
  •  
  • Closed: Only the metadata record is accessible publicly and data are not accessible by user completely

We ask all users to agree to our Data Access and Use Policy

Direct identifiers such as names, identification number and address are removed for all studies.

• Yes, after your data request was approved and you have downloaded the data, you are required to update progress of data usage every three months (March, June, September and December) in NIH-DaRS.

• This is important for monitoring of data usage.

• NIH-DaRS does not allow you to analyse data in the system. Kindly use your own statistical software for analysis.

All research projects / thesis that using MOH data are required to get approval with NMRR based on NIH Guidelines For Conducting Research In Ministry of Health (MOH) Institutions & Facilities, 3rd Edition, 2021
